Terms and Conditions of Self Defence Combat Academy

These Terms and Conditions outline the expectations and requirements for training at Self Defence Combat Academy. By enrolling, you agree to abide by the following terms to ensure a smooth and professional environment for all members.

1. Training Programs
    •    Training at Self Defence Combat Academy is structured as a program-based membership and is not offered on a pay-as-you-go basis.
    •    Programs are designed to provide a consistent and progressive training experience, with a focus on achieving personal goals and milestones over time.

2. Training Fees
    •    Training fees are paid monthly via direct debit starting from the second month of training.
    •    Fees are payable in full each month, regardless of attendance. Your fees secure your place in the program, not individual sessions.
    •    Training fees are non-refundable, including for missed sessions or absences due to holidays or other personal reasons.

3. Licensing and Insurance
    •    All students are required to pay an annual licence and insurance fee of £40.
    •    This fee is mandatory and ensures compliance with training standards and insurance requirements. Without this, you cannot participate in training.
    •    Renewal of the licence and insurance is required every 12 months to maintain active membership.

4. Gradings
    •    Gradings are an essential part of the program, allowing students to progress to higher levels.
    •    Each grading costs £40, payable prior to the grading date.
    •    Students must bring their license cards to every grading to participate.

5. Equipment Use
    •    For insurance and safety purposes, students are required to use only equipment supplied by Self Defence Combat Academy.
    •    Outside equipment is strictly prohibited to ensure compliance with our insurance policies.

6. Attendance and Absences
    •    If you are going to be absent, you must inform the instructor as soon as possible. This helps us plan and ensure smooth class operations.
    •    Regular attendance is essential for progression and to gain the full benefit of the training program.

7. Uniform and Belt
    •    All students must wear the correct uniform and belt in every class. This is a requirement to maintain discipline, professionalism, and consistency across the Academy.

8. Classroom Rules
    •    No food or chewing gum is allowed in the training area to ensure safety and cleanliness.
    •    Students are not permitted to wear jewelry during class to prevent injuries.
    •    Bullying or disruptive behavior of any kind will not be tolerated. Such behavior may result in dismissal from the Academy.

9. Parental Supervision (For Younger Students)
    •    Parents are welcome to watch the first few sessions to help their child feel comfortable.
    •    After the initial sessions, parents must leave their children to learn independently to encourage focus and engagement with the training.

10. Communication
    •    Parents will receive regular updates regarding class schedules, events, and any important announcements through email, text, or our Facebook page.
    •    Please ensure we have up-to-date contact details for any changes to your child’s attendance or health status.

11. Photo/Video Consent
    •    By enrolling, you consent to your child being photographed or filmed for promotional purposes unless you notify us in writing. These images or videos may be used for marketing, social media, or other Academy-related content.

12. Health and Safety
    •    It is the responsibility of parents to inform the Academy of any medical conditions, allergies, or special needs their child may have before starting classes.
    •    If your child has a medical condition, please ensure the instructor is aware so that we can take appropriate precautions.

13. Notice to Leave the Academy
    •    If you wish to leave the Academy, you must provide one calendar month’s written notice. This notice period ensures a professional conclusion to your membership.

14. Academy Schedule
    •    The Academy operates for 48 weeks per year, allowing for planned closures for staff holidays and operational breaks.
    •    Classes are held during school holidays to provide consistent training throughout the year.
    •    Please note there will be a two-week closure over the Christmas period due to the hall being unavailable during this time.

15. Missed Classes
    •    If you miss a class, you are welcome to attend an alternative session (subject to availability). However, fees remain payable as your place in the program is reserved.

16. Program-Based Commitment
    •    Unlike pay-as-you-go models, our programs provide structure and continuity, which are critical for skill development and achieving long-term goals in martial arts and self-defense.
    •    This approach ensures consistent progress and fosters discipline and commitment among all members.

17. Punctuality
    •    It is important that all students arrive on time for classes. Late arrivals disrupt the class and can hinder your child’s ability to fully benefit from the session.

18. Lost Property
    •    Please ensure that all items, including uniforms, bags, and water bottles, are clearly labeled.
    •    The Academy is not responsible for any lost or stolen personal items.

19. Weather/Emergency Closures
    •    In the event of adverse weather or emergencies, the Academy may need to close or reschedule classes. We will notify parents as soon as possible if this occurs. Missed sessions may not be refunded but can be rescheduled when possible.

20. Amendments to Terms and Conditions
    •    These Terms and Conditions may be updated from time to time. Any significant changes will be communicated to all members via email, text, or the Academy’s Facebook page.

By joining Self Defence Combat Academy, you agree to these terms, which are in place to support a positive and safe training environment for all students.
